Position: Administrative Assistant
POSITION OVERVIEW
BIC Canada Immigration is currently seeking dedicated and professional Administrative Assistants to join our team at our main office located in Brampton, Ontario.
The ideal candidate will be the first point of contact for clients, providing a welcoming and supportive environment while delivering high-quality administrative support to our immigration consulting team. This role requires strong attention to detail, excellent interpersonal skills, and the ability to manage multiple priorities efficiently. Prior experience in an administrative role and a high level of computer proficiency are essential for success in this position.

SALARY OFFERED: | $58,000.00 per annum; Paid on semi-monthly basis. The gross salary paid is subject to applicable Federal and Provincial income taxes and other statutory deductions. |

RESPONSIBILITIES
- Provide exceptional administrative support by professionally answering and directing incoming phone calls and emails, maintaining BIC Canada’s high service standards
- Maintaining general company voicemail box, including transferring messages to the correct members of staff
- Schedule and coordinate appointments, consultations, and meetings for staff and clients
- Draft and prepare initial consultation documents and retainer agreements as per company procedures
- Perform accurate data entry in the CRM systems, and assist in collecting necessary information and documentation from clients
- Communicate client updates regarding application correspondence through email and follow up by phone when necessary; ensure all correspondence is properly filed in the client’s digital folder
- Respond to general client inquiries by phone, email, fax, or in person, providing professional and courteous service
- Handle incoming and outgoing mail, arrange courier deliveries, and track packages as required
- Monitor office supplies including stationery, beverages, and kitchen items; place replenishment orders as needed
- Assist in preparing and updating internal forms, templates, and marketing materials used for client communication and outreach
- Support daily administrative operations and carry out additional tasks assigned by management to support office workflow
- Adhere to and uphold all BIC Canada internal policies, confidentiality protocols, and professional standards at all times
DESIRED SKILLS AND QUALIFICATIONS
- Strong computer proficiency, including hands-on experience with MS Outlook, MS Excel, MS Word, Adobe Acrobat, and basic internet research
- Excellent organizational skills with the ability to multitask, prioritize, and manage time effectively in a fast-paced office environment
- Excellent customer service and communication skills, with a professional demeanor and attitude
- Ability to work independently with initiative and problem-solving capability while maintaining attention to detail
- Willingness and ability to learn quickly, with a commitment to continuous professional development and training
EMPLOYMENT REQUIREMENTS
- Completion of secondary school is required
- Minimum one year of experience in an administrative position required. Experience in an immigration firm will be considered as an asset
